Title: Information Technologies recommending the Board approve and authorize the Chair to sign perpetual Agreement No. 659-S1411 with Avaya, Inc., to be effective upon final execution by both parties, in an amount not to exceed $303,529.32 for the first three (3) years, to provide hardware and software maintenance and support for the County's telecommunications equipment. Per Board Policy C-17, Section 4.5, Agreement No. 659-S1411 will be added to the department's list of perpetual Agreements to be reviewed annually by the Board.

Funding for this Agreement will come from the Information Technology budget. There is no change to Net County cost.
 
Background
The Board of Supervisors authorized a perpetual Agreement with Avaya, Inc., Agreement No. 437-S1111 on June 21, 2011. The County is able to get better pricing through Avaya's third party Business Partner, Advantel Networks. Upon execution and acceptance by Avaya, Inc., the County will be able to take advantage of a savings of approximately $30,000.00 per year, saving $90,000.00 in the first three years under this new perpetual Agreement.
 
Reason for Recommendation
Upon execution of Agreement No. 659-S1411, the current perpetual Agreement No. 437-S1111 will automatically terminate, allowing the County to take advantage of the new, lower pricing through Avaya's third party Business Partner, Advantel Networks.  In addition to the savings they can provide, Advantel Networks has a local presence in the Sacramento area and is a trusted premiere technology provider.
 
Clerk of the Board Follow Up Actions
Following Board approval, the Board Clerk will forward one fully executed original of the Agreement to Procurement and Contracts for distribution and administration.
