The Board is being asked to approve and authorize the Chair to sign perpetual and non-financial Non-Disclosure Agreement No. 318-O1610 with Amazon.com, Inc. to allow for discussions between Amazon and County IT staff regarding potential cloud and other web services available to the County.

DISCUSSION / BACKGROUND
IT currently manages data backups and recoveries for all countywide software systems and most departmental software systems using an onsite back up appliance combined with onsite and offsite data storage. Every day the amount of data managed increases and the current system is nearing maximum capacity. IT is exploring available options to address current and future data backup and recovery needs.

There are two basic paths IT can pursue to increase data backup capacity. One option is to add hardware to the current Veritas backup appliance. This would entail a fixed asset purchase of approximately $34,000 for the new hardware plus maintenance and support, as well as continued maintenance and support for the existing hardware.

Another option is to use a subscription-based cloud solution which may provide a more flexible and cost effective option for countywide back up services. Amazon Web Services offers such a cloud based solution in their Simple Storage Service (S3). IT has made preliminary inquiries regarding this service and estimates the cost to replicate the current backup capacity (5 months of data) to be approximately $500 to $800 per month.
