Fiscal Impact/Change to Net County Cost:
Current costs are accounted for in FY 08-09 budget request.  Future expenditures will be budgeted in forthcoming budgets.
 
Background:
Information Technologies has contracted with Avaya for telecommunications equipment maintenance and support since 1999.  Avaya provides maintenance on our telecommunications cabinets, processors and routing cards that route phone calls county wide.  Because this equipment has reached its end of service life, it is imperative that we continue a maintenance agreement to protect the County's telecommunications infrastructure until it can be replaced.  This maintenance and support is a sole source agreement made available exclusively through Avaya at a highly discounted rate.  
 
Reason for Recommendation:
Information Technologies is recommending the approval of a four year agreement with Avaya for the continued maintenance and support of the County's critical telecommunications equipment.
 
Contract NTE, $392,000 for four (4) years
 
Note: Contract contains non-standard indemnity language approved by County Counsel.
 
Action to be taken following Board approval:
1) Upon full execution of agreement, Information Technologies will forward copies to the Purchasing Agent for encumbrance in an amount not to exceed $98,000 annually for the duration of the four (4) year agreement.
 
2) IT to forward fully executed original to vendor.
