Body

DEPARTMENT RECOMMENDATION

Information Technologies recommending the Board consider the following:

1) Approve and authorize the Chief Technology Officer, or designee, to increase Agreement No. 191-S1511 with AT&T by an estimated $27,000 to add CalNet 3 cloud web security services for the remainder of the contract term; increasing the estimated amount to $327,000 for the remainder of the term, which expires June 30, 2018; and

2) Approve and authorize the Chief Technology Officer, or designee, to authorize additional service requests in accordance with the terms and conditions of Agreement No. 191-S1511 with AT&T for services under CalNet 3; contingent upon availability of funding in the appropriate departments budget, and contingent upon review and approval of required ordering documents from AT&T by County Counsel and Risk Management.

DISCUSSION / BACKGROUND

On December 16, 2014, the Board approved Agreement #191-S1511 with AT&T for the procurement of various telecommunications and network services and products.  The Agreement enables Information Technologies to provide telecommunications and network services and products to County departments at a greatly reduced rate.  The CalNet 3 contract provides more favorable terms than could be obtained by the County independently.

Monthly costs vary by service and currently total approximately $35,000 collectively for services under CalNet 3 (this includes phone lines, circuits, and internet connections).  Because it can be difficult to anticipate the time-sensitive needs and related cost of additional services, Information Technologies is asking for the authority to add necessary services for which funding has been identified within appropriate department budgets.

ALTERNATIVES

Disapproval of this action will require Information Technologies to bring every ordering document for additional services before the Board for approval; this could cause a significant delay in services that are often critical.
