DEPARTMENT RECOMMENDATION

Chief Administrative Office, Procurement & Contracts recommending the Board approve and ratify the Purchasing Agent's signature on Agreement 341-S1811 with Comcast Cable Communications Management, LLC, Comcast Phone, LLC, for new internet and telephone services for the District Attorney's Office to be located at 778 Pacific Street in Placerville, and incorporating the internet and telephone services for the Child Support Services facility on Ponderosa Road in Shingle Springs previously provided under Agreement 175-S1310, in the approximate amount of $1,762 per month, plus applicable taxes and fees, for an initial 36 month period, renewing annually thereafter.

DISCUSSION / BACKGROUND

On October 10, 2017 the Board approved the relocation of staff in the District Attorney's Office to a leased facility located at 778 Pacific Street in Placerville.  The facility requires connectivity to the County network for internet and telephone services.  Information Technologies staff researched available internet service options and determined that Comcast was the only provider that could offer the required services in time for the scheduled relocation.  On November 21, 2017 the Purchasing Agent signed Agreement 341-S1811 allowing IT to order the required services under the Comcast Enterprise Services Master Services Agreement (MSA) previously approved by the Board on October 13, 2015; however, the automatically renewing term of the Agreement requires authorization by the Board of Supervisors in accordance with section 4.5 of Board Policy C-17, Procurement.

Agreement 341-S1811 also includes internet and telephone services for the Child Support Facility on Ponderosa Road in Shingle Springs which Comcast was able to provide at a reduced rate under the combined services Agreement.  Services for the Child Support Facility were previously provided under Agreement 175-S1310 which will be terminated.

ALTERNATIVES

Services could be obtained by another provider such as AT&T however this would result in a significant delay in the scheduled move date due to infrastructure improvements that would be required at that location.
