DISCUSSION / BACKGROUND
On 01/03/2017, the Board approved Agreements 244-S1711 and 245-S1711 with Megabyte Systems, Inc. for the purchase of software licenses for implementation of the Megabyte Property Tax System, and software support and maintenance of that system.
On 03/28/2017, Legistar item 16-0236, the Board approved the Purchasing Agent to negotiate and execute an agreement for services with C.Toeller Consulting for a term of two years, effective upon execution, for the provision of professional project management services for the Property Tax Administration Replacement Project. The original contract was signed on 04/11/2017 and expires on 04/10/2019.
The Property Tax Administration Replacement Project is continuing to move through post go-live implementation. Support is needed to work through any unresolved data conversion issues, roll data, or characteristic information. Extending the contract with C. Toeller Consulting allows the Assessor, Tax Collector, and Auditor's Offices to continue receiving support to address problems with the new system as they arise.
This request will extend the term of the existing agreement through 12/31/2019.
ALTERNATIVES
The Board could refuse to extend the terms of the agreement, which would end the support provided for Megabyte project management services.
