Title

Department of Transportation recommending the Board:

FUNDING:  Fleet Internal Service Fund (100%).

Body

BACKGROUND

In September 2020, at the request of the Department of Transportation, Maintenance and Operations Division (Transportation), the Procurement and Contracts Division of the Chief Administrative Office issued Request for Proposals 20-928-075 for on-call equipment, truck and automobile body work, and painting services. The services to be provided shall include, but not be limited to, furnish personnel, equipment, materials, parts, supplies, subcontractors and services necessary to provide on-call equipment, truck, and automotive body work and painting services. Two (2) qualified proposals were received.

 

Transportation evaluated the proposals and recommends that Agreements be awarded to the two successful proposers, Frank's Body Shop, Inc. and G & O Body Shop, Inc. each in the amount of $150,000 for a term of three years. 

 

Transportation recommends the Board make findings in accordance with County Ordinance Section 3.13.030 that contracting out for this Agreement is more economical and feasible due to the specialty skills and qualifications needed and the fact that the ongoing aggregate of the work to be performed is not sufficient to warrant the addition of permanent staff.

ALTERNATIVES

The Board could choose to not approve the proposed Agreements. Fleet would no longer be able to repair damaged vehicles.

FINANCIAL IMPACT

There is no change in Net County Cost associated with this item. Funding for these Agreements have been included in Fiscal Year 2020-21 Transportation, Maintenance and Operations, Fleet Unit budget.  Future fiscal years funding will be included in the Division's ongoing annual budgets.

 

CLERK OF THE BOARD FOLLOW UP ACTIONS

1) The Clerk of the Board will obtain the Chair's signature on two (2) originals of each Agreement.

2) The Clerk of the Board will forward one (1) original of each Agreement to Procurement and Contracts Division for further processing.
