Sheriff’s Office recommending the Board:
1) Ratify the Undersheriff's signature, as Contract Administrator, on a Change Order to Agreement 5330 with Sun Ridge Systems Inc., in the amount of $18,500; and
2) Authorize Contract Administrator to execute any future change orders as specified in Section 5, and up to $150,000 as referenced in Exhibit B of Agreement 5330.

DISCUSSION / BACKGROUND
On December 2, 2020, your Board approved Legistar # 20-1539 that approved a budget transfer in the amount of $1,325,815 for a new comprehensive records management system for the Sheriff’s Office.
On March 9, 2021, Legistar # 21-0394, your Board took action to classify the purchase as a Fixed Asset and add the records management System from Sun Ridge Systems Inc., to the Sheriff’s Office FY 2020/21 fixed asset list.
The request being brought before your Board now is to ratify the issuance of a Change Order in the amount of an estimated $18,500 for conversion of Record attachments in pdf, mp3,jpg, Jail Incident attachments, Jail booking images and other data not originally in scope. Per Section 5 of Agreement #5330, the not-to-exceed amount for Change Orders, per Exhibit B, is for $150,000. The Undersheriff signed this change order to keep the project on schedule. Secondly, the Sheriff's Office is also requesting the Board to authorize the Contract Administrator to execute any future change orders up to $150,000 specified in the contract.

FINANCIAL IMPACT
