DISCUSSION / BACKGROUND
Currently, agendas and notices are posted in hard copy format by taping to the window or adding to a clipboard located outside between buildings A and B. With so many committees meeting at the Government Center, this is no longer practical. If agendas are removed or not posted properly and timely, the County could be in violation of the Brown Act.
The Information Technology (IT) Department is working with the Clerk of the Board of Supervisors to purchase an interactive, outdoor kiosk that will be the centralized information center located between buildings A and B. Initially, the kiosk will be used to post notices and agendas with expanded use in the future.
Over time, the kiosk could also be used as an interactive experience where a user could request, for example, how to obtain a marriage certificate and would then be directed to the correct County office that can assist. The kiosk could also provide directions to the location of different County offices. County Facilities and IT will assist in the installation of the kiosk and running the necessary electrical and internet connections.
Per Board Policy B-16, the addition of one (1) 32’’ metal body, single-sided, climate controlled Full-HD kiosk (model: 32MBSSCCOK) to the Fiscal Year (FY) 2022-23 Fixed Asset List requires Board approval. IT has savings from other Fixed Assets in the FY 2022-23 Budget to cover the additional cost, so a budget transfer is not being brought with this item.
The Department has completed an informal bid process, and the kiosk purchase will be made with Screen Solutions International (SSI), a company located in Rocklin, California. SSI outdoor kiosks are easy to integrate and quick to set-up. They are low maintenance, vandal-resistant, and weather protected, able to operate from -40 to 130 degrees Fahrenheit. SSI is available to provide remote maintenance, installation & set-up services, and training should those options ever be needed.
