Body

DISCUSSION / BACKGROUND

The Board of Supervisors approved Contract 9834 on September 23, 2025. On November 13, 2025, County staff conducted a site inspection for the project associated with this contract. During the inspection, it was determined that the originally specified CA-450 enclosure was undersized for the required installation.

The contractor submitted RFI No. 2  CA-450 Enclosure Size on November 19, 2025. The County of El Dorado reviewed and approved the RFI on November 20, 2025, authorizing the use of a larger enclosure to ensure proper equipment fit and compliance with project requirements.

Change Details:

The approved enclosure dimensions are 72 inches wide by 74 inches high by 24 inches deep, replacing the originally specified 60-inch by 62-inch enclosure.

This modification results in a cost increase of $52,595.60 to the contract.

The change also impacts the project schedule. Fabrication and installation of the larger enclosure extend the project completion date to June 30, 2027.

EMD staff recommend approval of this change order to ensure the project meets operational and safety requirements. The originally specified enclosure is not adequate to house the required equipment. The larger enclosure is essential for proper system performance and long-term reliability.

ALTERNATIVES

1)  If the Board declines to approve the change order, the project will be unable to proceed with the originally specified enclosure.

2)  Direct staff to explore alternative solutions, which would introduce significant delays to the project timeline.
