*In addition, the Transportation Department saved $47,844.65 in Public Relations costs under Task Order #s 07-1421-01-00 and 07-1421-02-00, which have been closed. Therefore, the total amount saved for Public Relations under Task Order #s 07-1421-01-00, 07-1421-02-00, and 07-1421-03-00 is $248,094.14.
Fiscal Impact/Change to Net County Cost:
The $248,094.14 in savings will be transferred to contingency until the end of the Project, at which time it can be reprogrammed for another project if unexpended. There is no Net County cost.
Background:
On December 11, 2007, (item #75 Legistar item 07-1959) the Transportation Department (Department) requested the Board review and provide guidance on the public relations activities for PSOMAS Agreement # 07-1421 for the Missouri Flat Road/U.S. Highway 50 Interchange Phase 1A Project (Project), including Task Orders # 07-1421-01-00, # 07-1421-02-00 and # 07-1421-03-00. At this meeting, the Board directed staff to limit the total amount authorized for public relations to an amount under $100,000.
Reason for Recommendation:
To date, the amount expended on this work totals $64,165.14. This Amendment will allow for an additional $35,713.45 to be spent, keeping the entire amount of Public Relations work under the $100,000.00. Tasks left to be performed include the following:
- Project database/stakeholder list and construction hotline maintenance
- Preparation of updates for the County-maintained website
- Attendance at weekly meetings when requested by the County
- Plan, schedule, and facilitate meetings with local residents and businesses regarding construction issues
- Develop and mail project newsletters
- Develop press releases
Action to be taken following Board approval:
1) The Board Chairman will sign Task Order Amendment # 07-1421-03-01.
2) The Board Clerk will forward a copy of the Task Order Amendment to the Department for further processing to PSOMAS and will retain a copy for its files.
