Information Technologies Department recommending Chairman be authorized to sign Agreement 010-S0811 with Xerox Corporation in the amount of $50,395, inclusive of all applicable charges, for the term May 1, 2007 through April 30, 2010 for professional services and training for installation of the new Xerox 4110 Enterprise Printing System, supplies and equipment maintenance, and software license and support for same.
FUNDING: I.T. FY 07/08 budget request and second and third year funding will be in the I.T. FY 08/09 and 09/10 budget requests.

Background:
I.T. found it necessary to replace the aging and maintenance prone Xerox DP-65 Printing System that was purchased in 2000. On May 15, 2007, your Board declared the DP-65 surplus and approved the purchase of a new Xerox 4110 EPS with a trade-in credit given for the DP-65.
In addition to the purchase of the hardware it is necessary to procure professional services for training and installation of the EPS and a supplies and maintenance agreement for on-going support.
With the installation of the Xerox 4110 the DP-65 will be removed and retained by Xerox.
Reason for Recommendation:
With the purchase of the new Xerox 4110 EPS, Information Technologies has negotiated maintenance terms for a three (3) year term. The maintenance agreement will start when the new 4110 Enterprise Printing System is installed.
Professional Services are necessary to train and assist I.T. staff in the installation and on-going support for the EPS at a cost of $5,395.00.
