DISCUSSION / BACKGROUND
In August 2021, the Board awarded Bid No. 21-918-040 for the purchase of Microsoft 365 (M365) Migration Services to AgreeYa Solutions, Inc. and executed Agreement 5823 in the amount of $218,900. In December 2021, the Board approved Amendment I to Agreement 5823 to add the County's Health Insurance Portability and Accountability Act (HIPAA) Business Associate Agreement (BAA) provisions to the contract.
During the course of the M365 Migration project, the Information Technologies (IT) Department and AgreeYa have found it necessary to reduce the services to be provided within the original scope of work. As the project progressed, it was determined it was more beneficial for the County to complete parts of the migration project using existing county staff. Amendment II to Agreement 5823 includes a revised scope of work and an updated task compensation schedule for the work AgreeYa will complete on the County's behalf. The Amendment decreases the compensation amount of the Agreement by $145,250, for an amended not-to-exceed (NTE) amount of $73,650, inclusive of all costs and expenses. The term of the contract is not changing.
ALTERNATIVES
The Board could decline to approve the amendment incorporating the new scope of services and compensation schedule.
