REASON FOR RECOMMENDATION: On June 27, 2006, item #39, the Board awarded Bid #06-675-122 for the purchase of Herbicides for roadside and grounds maintenance, and the “Noxious Weed” program. The vendor has agreed to extend pricing for six (6) additional months. Board of Supervisors Policy C-17, 5.9 (f), allows the Purchasing Agent to extend a contract award from the previous contract period provided that the vendor agrees to provide the item(s) at the same price and under the same terms and conditions as the previous award. These extensions allow the County to take advantage of the prior year low bid pricing.

Pursuant to Board of Supervisors Policy C-17, a comparative market analysis is required for contract extensions in accordance with section 5.9(f). The current contract expires on June 26, 2007. The Procurement and Contracts Division has conducted a preliminary review of pricing for the needed herbicides and has found that more competitive pricing can be realized by utilizing a formal competitive bidding process, and is therefore only requesting a six month extension in order to accomplish the formal bid process.
