1) Approve and authorize the Purchasing Agent to sign Amendment II to Agreement 240-S1210 with SADA Systems, Inc. to provide hosted email and professional services, to reflect a product name change; and
2) Authorize the Purchasing Agent to encumber funds for the 2017 annual renewal estimated at $162,209. There is no change to the original perpetual term of the Agreement.

Information Technologies Department recommending the Board consider the following:
1) Approve and authorize the Purchasing Agent to sign Amendment II to Agreement No. 240-S1210 with SADA Systems, Inc. to provide hosted email and professional services, to reflect a product name change; and

DISCUSSION / BACKGROUND
On September 19, 2011, the Board approved and authorized the Chief Technology Officer to execute an Agreement for the purchase of Google Mail and Calendaring (Google Apps, G-mail) and associated services to replace Lotus Notes as the County's e-mail system. On November 21, 2011, Amendment I was executed to add an encryption tool and additional training webinars.
Google recently changed the name of its Google Apps products to “G Suite.” Amendment II is necessary to reflect this product name change. Additionally, this name change will require County System Administrators to electronically agree to the "G Suite" Terms of Service which have been reviewed and approved by County Counsel.

It is recommended that the Board approve this item.
FINANCIAL IMPACT
There is no change in Net County Cost. Funding for the 2017 annual renewal is included in the Adopted Budget for Information Technologies. Funding for future fiscal years will be included in the Department’s annual budget request. This Agreement is also included in the Department’s annual report of perpetual Agreements which identifies the anticipated annual cost.
