The Sheriff's Office is recommending continuing the perpetual contract for an additional year.
DISCUSSION / BACKGROUND
On April 27, 2010, the Board approved a request from the Sheriff's Office to enter into an agreement with Principal Decision Systems International (PDSI) for the purchase of Telestaff Software Program and Licensing. This software program automates the complex staff scheduling processes unique to the Sheriff's Office and also saves staff time identifying and preventing scheduling situations which contribute to overtime usage and assists in ensuring minimum staffing levels are met.
On September 27, 2011, the Board approved Amendment I to this agreement adding additional software licenses, Phase 2 Implementation services, an electronic time card module with configuration and auction configuration. These additions allowed the Sheriff's Office to expand the use of the automated scheduling system throughout the organization and to implement Telestaff's automated time collection module.
On July 24, 2012, the Board approved Amendment II to this agreement due to Kronos Incorporated acquiring PDSI. The Amendment changed ownership of the contract to Kronos as well as locked in rates for the period April 27, 2012 to April 26, 2017.
The perpetual agreement with Kronos Incorporated ends on April 26, 2017, and needs to be renewed for another annual term from April 27, 2017 to April 26, 2018. The yearly compensation for the Agreement is $19,193.14.
