DISCUSSION / BACKGROUND

Fuel cardlock services are necessary for the continued operations of County business. These cardlock stations are used by most, if not all, County departments, particularly the Sheriff's office and the Department of Transportation. If these cardlock fuel services were not available, re-fueling of County vehicles would be difficult, more labor intensive, and more expensive.

 

On February 6, 2019, the Board approved a one year agreement for commercial cardlock fueling services for all County-owned vehicles with Hunt and Sons, Inc. in the amount not to exceed $1,000,000 for the period of January 24, 2019 through January 23, 2020. The one-year term was based on the anticipation of the new competitive solicitation process that the County participated in at the end of 2019. That solicitation process is complete and has resulted in a request for the Board to approve a new agreement with Hunt and Sons, Inc. (Legistar item 19-1847). The new agreement will have an effective date of January 24, 2020.  The new contract is recommended for approval with Legistar item #19-1847 (1/14/2020).

 

Amendment 1 to the existing agreement is recommended with this item.  As the term of the existing Agreement with Hunt and Sons, Inc. (3683) comes to an end, it has been determined that additional funds are required for cardlock fuel services for some of the larger departments such as the Sheriff and HHSA.

 

ALTERNATIVES

The Board could choose not to approve this Agreement Amendment and the County would have to determine a new way to provide fuel for County vehicles.

 

PRIOR BOARD ACTION

On February 6, 2019, Legistar item 19-0172, the Board approved Agreement for Services 3683 with Hunt and Sons, Inc. for $1,000,000 for the term January 24, 2019 through January 23, 2020 to provide commercial cardlock fueling services for all County-owned vehicles.

FINANCIAL IMPACT

There is no additional General Fund impact. Departments have included appropriations for these services in the FY 2019-20 budget.
