Fiscal Impact/Change to Net County Cost: Funding for this Agreement as amended is being provided by the California Department of Child Support Services, Federal Department of Health and Human Services, State Realignment Funds and Tobacco Settlement Funds. There is no net County cost.
Background: In February of 2011, bids for installation of a security and asset management system at the Human Services/Child Support Services/Health Services Departments were opened. The on-going monitoring and maintenance for the system was included in the bid for the installation of the system. Agreement #427-S1111, AGMT 10-53124 was prepared for monitoring and maintenance services at all of the locations included in the installation project. It was determined after the Agreement was executed that the Department of Health Services location in South Lake Tahoe would not be included. It is necessary to amend the monitoring and maintenance agreement to exclude this location and reduce the compensation amount by the associated fee. In addition, the monitoring and maintenance contract is now the responsibility of the Department of Transportation, Facility Maintenance Unit. It is necessary to change the contract administrator and notices recipient to reflect the appropriate individual who will be fulfilling these duties.
Reason for Recommendation:
The Board of Supervisors is requested to authorize the Chair to sign the First Amendment to Agreement for Services #427-S1111, AGMT 10-53124 to 1) remove the Department of Health Services facility in South Lake Tahoe from the fees and service locations schedule; 2) decrease the not-to-exceed compensation amount of the Agreement by $11,340, the total fees associated with the location that was removed; and 3) update the County’s notices recipients and contract administrator. There are no other changes to the Agreement.
Action to be taken following Board approval:
1) The Chairman will sign two (2) originals of First Amendment to Agreement for Services #427-S1111, AGMT 10-53124 with Security and Asset Management, LP doing business as Sonitrol of Sacramento.
2) The Board Clerk will forward one original of the fully executed First Amendment to the Department for further processing.
