Fiscal Impact/Change to Net County Cost:
No fiscal impact or change to Net County Cost as these anticipated services, maintenance and escrow fees are included in Probation's 2012-13 approved budget.
 
Background:
The Board of Supervisors approved Agreement #675-S0611, item No. 28, on June 27, 2006, for Probation to engage contractor for AutoMon's proprietary case management system called Caseload Explorer for the Probation Department, which included modules for adult supervision, juvenile supervision, juvenile detention facilities, and fiscal; the agreement also included license, installation, maintenance, escrow, training, customization, and system upgrades.  The original agreement was approved by County Counsel, Information Technology, Procurement and Contracts, Risk Management, and the Board of Supervisors.  Amendment I, approved by the Board on 05/12/009, item No. 19 updated the agreement to include a breakout of Maintenance and Escrow fees in support of the case management system, increased the term by one year, and assigned AutoMon Corporation's rights and obligations to AutoMon, LLC.  
 
Reason for Recommendation:
Amendment II to this agreement increases the term by two years to allow time for completion of the contracted fiscal module, increases the contract not to exceed total by $125,000 to $475,966.73, to cover the two years of Maintenance and Escrow fees, and approximately $40,000 to be used for customization and/or subscription fees on an as requested/as needed basis.  The optional "Ce Assessments" subscription provides a fully integrated system for public domain and proprietary instruments and Supervised Release Files (SRF) submission to the Department of Justice (DOJ).  Please note that the fiscal module has not been pre-paid, but will only be paid upon final acceptance of work performed.  
 
Action to be taken following Board approval:
1. Chair to sign two (2) originals of Amendment II of Agreement 713-S0611
2. Board Clerk's Office to return one (1) original Amendment II of Agreement 713-S0611 to Probation for distribution to vendor
